Your data, plainly.

A straight account of what we collect when you use AI OWL's AI OnDemand, why, who can see it, and how to get rid of it. No dark patterns.

What we collect

When you sign up with an enrollment code and use the platform, we store the following:

  • Account information — your name, email, and an encrypted password (handled by our authentication provider).
  • Enrollment information — which courses you have access to, the code you redeemed, and the organisation/cohort it was issued under.
  • Learning progress— which lessons and blocks you've completed, your knowledge-check answers and scores, your activity submissions, and the timestamps for each event.
  • AI Tutor conversations — the messages you exchange with the in-lesson AI Tutor. These help us improve the tutor and, optionally, are used as context in future answers within the same session.
  • Project portfolio uploads — any image, document, or video you choose to upload as part of a Special Project. These are stored privately and only visible to you and AI OWL staff.
  • Operational logs — a per-action event stream (xAPI) used to measure progress and platform quality.

What we do NOT collect

  • We don't use marketing or advertising cookies.
  • We don't share your data with advertisers.
  • We don't train external AI models on your private content.
  • We don't collect biometric data, location data, or anything outside what the lessons require.

Why we collect it

All data on the platform exists for one of three reasons: (1) to give you working access to your courses, (2) to track your own progress so you can see where you are and earn your certificate, or (3) to let AI OWL administrators follow your progress through the program and award the AI OnDemand credential.

We don't sell, rent, or trade your data — full stop.

Who can see it

  • You — anything tied to your account, via your dashboard.
  • The AI OWL administrator who issued your enrollment code— your name, email, course progress, and any activity you submitted. They cannot see admins' or instructors' data, and they cannot see other admins' learners.
  • Our hosting and infrastructure providers — strictly to run the platform. We rely on industry providers for database and authentication, AI model inference (used by the AI Tutor), transactional email delivery, and web hosting. AI Tutor conversations are processed by our AI model provider under API terms that explicitly prohibit using customer content to train their models.

How long we keep it

  • While your enrollment is active — we keep everything tied to your account.
  • After your access window ends — if your code was time-boxed (e.g. 90 days), your account is preserved for a 30-day grace period in case access is restored. During this window you cannot log in but your progress is intact.
  • After the 30-day grace period — your account and every linked record (profile, enrollments, lesson progress, knowledge-check attempts, activity submissions, project files, AI tutor messages, xAPI statements) are permanently deleted by a nightly automated job.
  • Unlimited enrollments — kept until you request deletion or your account is administratively removed.

Your rights

You can ask us to do any of the following at any time:

  • Access — get a copy of the data tied to your account.
  • Correct — update your name, email, or any other personal field.
  • Delete — wipe your account and every associated record.
  • Object — ask us to stop processing your data for any purpose beyond keeping your account alive.

Cookies and session

The platform uses one functional cookie: an authentication session cookie that keeps you signed in between pages. That's it — no analytics cookies, no third-party trackers, no advertising IDs.

Children

The platform is built for working professionals in Ohio and is not intended for users under 16. If you believe a minor has registered, write to info@aiowl.org and we'll remove the account.

Changes to this policy

If we change anything material about how we handle your data, we'll update this page and revise the "Last updated" date at the top. Significant changes (especially around third parties or retention) will also be announced in-app.
